RULES & REGULATIONS
Of LARIAN HARI KEPUTERAAN SULTAN NAZRIN SHAH 2025 [LHKSNS25]
1. THE EVENT
1.1 The LARIAN HARI KEPUTERAAN SULTAN NAZRIN SHAH 2025 (“the Event”) is organized by PEJABAT DAERAH KUALA KANGSAR. (“the Organiser”) and M5 EVENT SDN BHD (“the co-organizer) with the full support of MAJLIS PERBANDARAN KUALA KANGSAR (“MPKK”) and under the LARIAN HARI KEPUTERAAN SULTAN NAZRIN SHAH (LHKSNS25) Rules & Regulations
2. ORGANISER RIGHTS
2.1 By signing up for and providing any information, personal or otherwise, to gain access to any product(s) and/or service(s) and/or participate in any programme(s), event(s), talk(s), demonstration(s) or any other activities involving the Organiser and the Event Sponsors (“the Sponsors”), the individual (“the Participant”) is deemed to have given explicit permission for the Organiser and the Sponsors to collect, analyse, collate, share, disclose to third parties, sell and/or otherwise use without any liability to the individual, any personal information relating to that individual as may in its sole discretion deem fit, including without any limitation for its programmes, planning, data-processing and statistical or risk-analysis, research, fund-raising and/or any other purposes in furtherance of the functions. Following the Personal Data Protection Act 2010 [“PDPA] and Publicity. The Organiser and the Sponsors declare by being the Event owner or sponsor, they can use the services of third parties
2.1.1 The PDPA governs the processing of the participant’s data [Personal Data] by the organizer. This Notice is issued to participants to inform them that this is the basis upon which the processing of the Personal Data is done by the Organizer.
2.1.2 The Organizer will keep the participant’s Personal Data confidential, but the participants agree that for the purposes set out in clause 2.1.3 and below, the Organizer may transfer or disclose such Personal Data to the following parties within or outside Malaysia.
2.1.3 For development or implementation of programs, products or services as it may deem necessary;
2.1.4 Photos may be published on the LHKSNS25 website and social media sites and may be downloaded by any user of the sites. You hereby assign your rights to these photos to LHKSNS25 and the organizer of the event, who may use them as described above and below.
2.1.5 For outsourcing of any programme(s), event(s), talk(s), demonstration(s) and/or any activities;
2.1.6 For promotional, marketing and/or administrative purposes;
2.1.7 For all purposes as required by law, including without limitation court proceedings, criminal investigations or prosecutions or where so ordered by any competent authority;
2.1.8 In connection with any proposed novation, assignment, transfer, sale, lease, license, partnership, joint-organizing and/or any collaboration where and when required in relation thereto
2.2 By signing up for the Event, the Participant agrees that the Organiser might post the full race results on the website after the race
2.3 The Organiser reserves the right to modify or substitute any of these Rules and Regulations of the Event from time to time as they deem fit. If there is ambiguity in any of the provisions, the Organiser shall be the authority to interpret and in doing so, the Organiser will take into account the interests of all the affected Participants. Any updates on the Rules and Regulations of the Event will be notified on the official Event’s Registration Portal and it is the responsibility of the affected Participant to keep abreast with any changes.
2.4 The Organiser reserves the right to cancel or postpone the Event at any time without prior notice to the Participants, in which case the Organiser will make an effort to inform the Participants before the date of the Event. If the Event has to be cancelled or postponed, there shall be no refunds of fees or donations paid unless the Organiser deems fit to give a refund and the Organiser shall not be held liable for any loss or inconvenience caused.
2.5 The Organiser reserves the right to amend the Event race routes as they deem fit for the safety of the Participants and/or to prevent any potential hazards in the running of the Event, at any time without prior notice to the Participants. In such cases, every effort will be made to inform the Participants before the date of the Event. The Organiser shall not be held liable for any loss or inconvenience caused due to such changes.
2.6 If the Participant's original bib number is lost or cannot be found during Race Pack Collection, the Organiser reserves the right to replace it with a spare bib number. The Organiser reserves the right to amend or substitute any Participant’s running bib at any time without prior notice to the Participant.
2.7 The Organiser reserves the right to use any photographs (including those of Participants), motion pictures, recordings, or any other media records of the Event, for any legitimate purpose including commercial advertising and distribution to Sponsors anywhere in the world.
2.8 The Organiser reserves the right to limit and/or refuse entry to the Event and/or another programme (s), event(s), talk(s), demonstration(s) or any other activities involving the Organiser and the event sponsors without giving any reason and/or notice.
2.9 The Organiser will not be responsible for any loss and/or damage, personal or otherwise, to the belongings and items deposited at the event baggage storage provided for the runners. The Organiser also reserves the right to check any item or baggage deposited.
3. PARTICIPANT RESPONSIBILITY
3.1 The Participant hereby agrees to release and hold harmless the ORGANISER, MPKK and M5 EVENT SDN BHD, its officers, directors, agents, employees, property owners, instructors and associates of and from and against any liability, all manner of actions and causes of actions, judgements executions, debts, claims and demands of every kind and nature whatsoever arising out of any injury loss, damage, death caused to property or any other person arising from or in connection with the participant participation in the event whether such injury loss, damage, death was caused directly or indirectly by negligence, breach of contract or any way whatsoever arising from training for, during, or after participation in the Event.
3.2 The Participant also certify and declares that the Participant is not at present under any form of medical treatment for physical infirmity, chronic illness, or mental disorder that could affect participation in the Event. Participants are also strongly encouraged to go for a medical examination and/or consult their medical practitioner before registration and before the actual Event Day.
3.3 Completing the official entry form, including online registration, confirms the Participant’s agreement to abide by all the relevant Rules and Regulations of the LHKSNS25, Organiser, and Sponsors.
3.4 Registration for the race is only confirmed upon payment made and upon issuance of a race identification number.
3.5 In consideration of the Participant's use of the Event’s website, the Participants agree to;
3.5.1 Provide true, accurate, current and complete information contained in any registration form (such information being the “Registration Data”)
3.5.2 Maintain the security of their password and identification.
3.5.3 Maintain and promptly update the registration data to keep it true, accurate, current and complete. The Organiser may contact the Participants from time to time by email. Any notice sent to the email address registered with the Organiser shall be deemed as received by the Participants. If the Participants provide any information that is untrue, inaccurate, obsolete or incomplete, or the Organiser has grounds to suspect that such information is untrue, inaccurate, obsolete or incomplete, the Organiser may suspend or terminate their registration and refuse all current or future use of the Event’s website (or any parts thereof).
3.6 The Organizer will not entertain nor be in any way responsible for any disputes arising from incomplete or inaccurate entry details in the registration form.
3.7 The information on the reverse side of the Participant’s running bib must be completed in full and accurately.
3.8 Participants are strictly not allowed to transfer their race entries to another party or change race categories after their registrations are confirmed.
4. REFUND
4.1 There will be strictly no refunds available if the Event is cancelled for reason of force majeure i.e. due to the occurrence of incidents that are beyond the control of the Organiser or acts of God which renders it impossible or unsafe to hold the Event.
4.2 Once registration has been duly processed, there will be strictly no refunds of fees for Participants who do not eventually participate in the Event for whatever reason
5. SAFETY
5.1 While every reasonable precaution will be taken by the Organiser to ensure the Participants’ safety, Participants run solely at their own risk and the Organiser will not be responsible or held liable for any injury or death howsoever arising from training for, during, or after the participation in the Event. Participants are strongly encouraged to go for a medical examination and/or consult their medical practitioner before registration and before the actual Event Day.
5.2 Partial road closures on the ENTIRE ROUTE will be lifted after FOUR [4] hours from the commencement of the race. Cut-off times will be set at specific checkpoints along the route to ensure the safety of runners who are unable to complete the race within the FOUR [4] hours and to ensure that the roads can be re-opened to the public under the Event Permit.
5.3 A Participant must retire from the race immediately, if required to do so by any member of the Official, Medical Staff, Race Director, Marshall, and/or Security officer.
5.4 Pets, bicycles, in-line skates, prams, push carts, shoes with built-in or attached rollers and any other wheel-run objects are NOT ALLOWED on the entire course other than official race and medical vehicles.
6. DISQUALIFICATION
6.1 Any Participant who commences running before the actual flag-off of his/her registered race category will be immediately disqualified. (Please refer to individual race category start times).
6.2 Participants who do not start within 15 minutes of respective flag-offs [15km, 10km, and 7km], may not be allowed to start and will be immediately disqualified.
6.3 Participants must wear the assigned bib number visibly on his/her chest at all times. Participants who do not display bib numbers will be taken off the course by security officers/officials and immediately disqualified.
7. ELIGIBILITY
7.1 Participants must be 16 years old or older as of Event Day to participate in the 10 & 15km Competitive Category.
7.2 Participants must be 10 years old or older as of Event Day to participate in the 7km Fun Run Category.
7.3 Participants below the age of 18 are required to obtain parental/guardian’s consent and complete the relevant indemnity declaration form as deemed necessary by the Organiser upon registration, failing which, the Organiser reserves the right to refuse entry to any applicant under the age of 18 years.
8. RACE PACK COLLECTION
8.1 All Participants must collect their Race Pack which contains their bib number, timing chip (attached to the back of your bib number), event t-shirt, and other sponsored items [If any] during Race Pack Collection (RPC) during the pre-determined period and location as stipulated on the Event’s website.
8.2 To collect your race pack, you must bring the printout of your confirmation slip and your NRIC/passport. You may appoint a representative to collect your race pack on your behalf. The representative must present the following:
• Printout of your confirmation slip
• Letter of authorization signed by you
• Representative’s IC/passport
• Photocopy of your IC/passport
8.3 All Race Packs not collected during RPC stipulated time and date, will be deemed to be unwanted, and the Organiser shall be at liberty to dispose or re-distribute them accordingly.
9. TIMING
9.1 The “Gun Time” will be used to determine the winners for each of the following categories;
9.1.1 Men’s and Women's Open 10 & 15km.
9.1.2 Men’s and Women’s Veteran 15km.
9.2 The “Net Time” will be used to get an overall ranking in all categories.
10. GENERAL RULES
10.1 Each Participant is allowed to win only one prize-money award in the category that he/she has registered for.
10.2 The Organiser reserves the right to replace any winners if he/she is found to be disqualified.
10.3 Prize winners must report to the prize-giving zone as stipulated on their winner tag. In case a runner fails to do so, the Organiser may donate the cash prize money to charity.
10.4 All prize-winning Participants must present their original identification document (such as a Passport or National Identity Card) to collect their prize money.
10.5 For prize winners or possible prize winners, disputes and appeals must be made in writing within thirty [30] minutes of the published results with a non-refundable protest fee of RM100.00, failing which the Organiser reserves the right not to entertain any disputes or appeals thereafter.
10.6 For all other Participants, disputes regarding the result's timing must be submitted in writing including electronic mail within three [3] days after the Event Day. The Organiser reserves the right not to entertain any dispute or appeal after 19 November 2025.
10.7 For all disputes, the Organiser’s decision is final and no other disputes thereafter will be entertained.
10.8 The timing chip is a single-use, disposable device attached to the back of the bib. Participants must wear the assigned bib number visibly on his/her chest. Participants in the competitive categories must make sure that the bib is not covered with a jacket or his/her arms when running over the timing mats,
10.9 All Participants who complete the registered distance will be awarded a finisher medal upon presentation of their bib number to the respective staff.
10.10 All finisher medals and goodie bags [if any] must be collected on Event Day and no requests will be entertained thereafter.
10.12 All Participants who complete the registered distance will be awarded an e-certificate. The e-certificate will be made available on the website www.sportsplits.com on 16 December 2025. This entitlement will not apply to participants who are unable to:
i] to complete the race,
ii] are disqualified or
iii] do not compete in the race.
The availability of the e-certificate will only be until the end of March 2025. There will not be any hardcopy finisher certificate mailed out.
10.13 The Organiser reserves the right to publish the start list of the Event which the public may see who has officially entered into the Event.
11. SPECIAL RULES ON COVID 19 PROTOCOL
11.1 Participants MUST have two [2] doses of C19 VACCINE approved by the Ministry of Health Malaysia and have passed the vaccination maturity period.
11.2 Apart from all SOPs set by the authorities, you are all also advised to practice self-care for the well-being of yourself, your family, the community and the country.
11.3 If this declaration is false and untrue and if there are any cases of Covid 19 transmission identified from this event, the Organizer reserves the right to take legal action from this false declaration.
11.4 These Special Rules are not limited to what is stated and will change according to current needs or the latest developments from the authorities.
